Invoice exception workbench

Illustrative use case, not a case study.

Invoices that do not match the order or receipt are explained and routed to an owner, and finance authorizes every posting.

The problem

A large share of our supplier invoices fail matching and land in a queue that nobody owns. The team re-keys details, chases buyers for context, and holds payment while the reason for the mismatch is worked out by email.

How it works today

Invoices arrive as PDFs and portal uploads, are keyed or scanned into the ERP, and fail the match when quantities, prices, or receipts disagree. An AP clerk opens each exception, looks up the purchase order and receipt separately, emails the buyer or warehouse, and waits. Resolution notes live in the mailbox rather than on the invoice.

Quick overview

Transcript
  1. Supplier invoices that do not match the order or the receipt wait in a queue. Someone opens three systems to work out why, then emails for an approval.
  2. The workbench extracts and checks invoice details, compares order and receipt data, explains mismatches, and routes exceptions to their owners.
  3. Finance authorizes every posting and payment. Uncertain extraction results go for manual review. The workbench proposes; it does not post.
  4. Measured on exception age, extraction errors, and rework. Illustrative use case. Let us discuss yours.

Detailed scenario

Illustrative scenario. A fictional accounts-payable reviewer follows one held invoice from scattered records to a reviewed resolution. Finance keeps authority over posting and payment. 1:06

Transcript
  1. The supplier wants an update. Maya's invoice is on hold, and the reason is scattered across three records.
  2. The invoice shows one hundred units. The receipt shows eighty. That difference needs evidence and an owner, not another round of forwarded emails.
  3. An exception workbench checks the extracted details, compares the supporting records, and prepares a sourced explanation. Anything uncertain goes for manual review.
  4. The proposed next step reaches the receiving owner. The team can see what is missing, who is responsible, and what still needs to be resolved.
  5. Once the evidence is complete, finance reviews the resolution. The assistant has prepared the work. Finance still authorizes posting and payment.
  6. The workflow can be assessed through exception age, extraction errors, and rework. Where does your invoice process get stuck? Let us discuss it.

Discuss invoice exceptions

Proposed workflow

  1. Extract invoice facts from the document and validate them against structured fields
  2. Compare extracted facts with available purchase order and receipt data in the ERP
  3. Explain the mismatch in plain language with the evidence used
  4. Route the exception to the responsible buyer, receiver, or AP owner with the explanation attached
  5. Present the proposed resolution to finance for authorization before any posting or payment

Where a person stays in control

  • Finance authorizes every posting and payment; the workbench proposes, it does not post
  • Extraction results below an agreed confidence level are flagged for manual check
  • Each routed exception carries the evidence and the decision history

Platform mappings indicate environments in which to assess this idea. Actual implementation depends on configuration, licenses, APIs, data, and permissions. Benefits are stated qualitatively; numeric claims require a documented baseline.
