Sales handoff and opportunity preparation
Illustrative use case, not a case study.
Approved account context, flagged gaps, and drafted handoff notes reach the seller, who confirms anything before it goes to the prospect.
The problem
Handoffs between inside sales, field sales, and delivery lose information every time. Reps rebuild the account picture from scattered notes and emails before a call, and follow-ups get missed because nobody wrote the tasks down.
How it works today
Before a handoff or a meeting, a rep opens the account, reads recent activities and emails, checks open cases and orders in another system, and types a summary into a note or a slide. Missing fields are noticed late or not at all. Follow-up tasks depend on the rep remembering to create them.

Transcript
- A lead qualifies, and the handoff to the account team is a forwarded email. The first call repeats questions the prospect already answered.
- The assistant gathers approved account context, flags missing or outdated details, and drafts the handoff and follow-up tasks for the seller to review.
- The seller reviews the brief before anything reaches the prospect. Tasks are created and the handoff is recorded only after that review.
- Measured on preparation time and handoff completeness. Illustrative use case. Let us discuss yours.
Proposed workflow
- Assemble approved account context from CRM, including activity, open opportunities, and known service issues
- Flag missing or stale information against the agreed handoff checklist
- Draft the handoff summary and a proposed set of follow-up tasks
- Present the draft to the rep for edits and confirmation
- Create the confirmed tasks and record the handoff on the opportunity
Where a person stays in control
- The rep confirms any external communication before it is sent
- Task creation and opportunity updates are visible to and reversible by the owner
- Context assembly is limited to records the user already has access to
